Using Bar Coding for Letters and Returned Mail

There are 2 options for producing and using a bar code on your letters:

1. 3rd party letter vendor produces (this is the preferred method)

  • You need to furnish the vendor with the company number (merge code A96) and case number (merge code A01) on the letter format
  • You will need to understand the specs of your bar code reader and furnish this information to your vendor

2. Produce/print the bar code internally

  • This option requires custom programming
  • There are special softwares that can be used
  • Your printer must have IPDS capabilities (intelligent printer data stream)
  • You will need to understand the specs of your bar code reader and furnish this information to Quantrax
  • Bar code letters go to a separate spool file so you may need to create a separate form type for these letters
  • Bar code must appear in line 13 or 60
  • You must include the company number (merge code A96) and case number (merge code A01) on the letter format

To process your return mail with the bar code

  • Go to the daily operations menu - mail return entry - scan mail return option
  • Scan the bar codes with the bar code reader - this creates a batch file of all the company and case numbers
  • Go to the daily operations menu - mail return entry - post returned mail option 
  • Post the batch file (you have the option to apply a smart code to all the return mail accounts at this time)

NOTE: Company number (merge code A96) and case number (merge code A01) are the only requirements for the bar code. However, if you require additional info in the bar code you must have custom programming.
