If an account is linked during the nightly process or linked manually, there are features which allow you to change owner/collector codes on the account that is being linked or the accounts that are being linked to. These features include assigning all of the old accounts to the owner on the new account or changing the owner on the new account to that on the old account
- On the linking parameters (system control menu - account linking parameters)
When there is a ‘successful’ link, you can select the account ownership if the primary account is a regular account with the feature “Change collector if old account is regular(Y)”. When there is a ‘successful’ link, you can select the account ownership if the primary account is classified as a legal account with the feature “Change collector if old account is legal(Y, N)”. When the new account comes in and links, a “Y” will allow the new account to be changed to the owner code of the primary account, as long as the primary account is classified as a legal account. The option “N” can be used so that the new account does not link to the legal primary account at all note: The legal/pre-legal accounts and same client/client type rules from the linking parameters (system control menu - account linking parameters) take priority over the below collector options
- The collector master (management menu – collector update)
There are several additional options for linking accounts which allows you to classify an owner with additional linking criteria. The field ‘linking options’ helps to control who will be receiving an account should an account link to this owner
- Numeric linking options:
Entering a 0-9 in this field will tell the system that you only want accounts with a numerical linking option of 0-9 to link to other accounts with the same code. E.g. If the old account has an owner code with a “7” in the linking option field and a new account is loaded and the owner assigned to that account also has a “7” in the linking option field, the owner code on the new account will change to the owner of the old account. But if the new account has an owner code with any other numeric linking option the accounts will reassign to the owner with the highest numeric value (6 is higher than 2)
- Blank linking option:
“Blank” will change the owner on the new account to that of the old account as long as the owner on the old account does not have an “N” or “S” in the linking options field
- Alpha linking options:
“N” will allow linking to occur but to protect the owner’s accounts the owner code will not change
“S” designates the owner as small balance and if the new account has an “S” the system will change the owner to that of the old account as long as the owner on the old account does not have an “N” in the linking options field
“L” designates the owner as large balance and if the new account has an “L” the system will change the owner to that of the old account as long as the owner on the old account has an “L” or “blank” in the linking options field. If the old account has an “S” in the linking options field then all the old accounts will be changed to the owner of the new account
“X” will stop accounts from linking
“C” will link all accounts belonging to the owner with a “C” in the linking options field together
Note: The “C” option will ignore the legal/pre-legal accounts and same client/client type rules from the linking parameters (system control menu - account linking parameters)
